On-The-Day Coordination service 

This service begins with a face to face meeting to go through your plans for the day, establish a running order, hand over supplier agreements and contracts, and discuss any concerns. After this meeting we will provide you with full email and telephone support in the run up to your special day to deal with any concerns and will liaise with your suppliers to confirm bookings, arrival times and provide directions to the venue. We will then produce a full schedule of events for your approval in preparation for the big day. 

On the day we will provide a full wedding co-ordination service for your whole day, from final set up in the morning to the departure of your guests at the end of the evening.  There is no definitive list for what this service includes as every event is unique so requirements will vary, but below are some examples of what the service may include:


  • Act as main point of contact for you and your guests for the day, handling any issues sensitively and discretely

  • Work with all suppliers to facilitate their on-time arrival at the venue, providing directions, contact details etc

  • Coordinate your suppliers and work with venue staff to ensure your day runs as planned

  • Be accessible for entire event to ensure the day runs smoothly

  • Provide access to an emergency wedding kit for those unforeseen circumstances

  • Manage the final touches for your set up and decor such as table numbers, favours, guest book, confetti bags etc and complete a final quality check before guests arrive

  • Transport valuable items such as the dress, rings etc to the venue

  • Liaise with officiator to ensure everything is in place for the ceremony

  • Facilitate the on-time arrival of hair and makeup artists and ensure schedule runs to time

  • Coordinate the arrival and placement of floral displays and decorations, and distribute any personal flowers and buttonholes to the wedding party

  • Coordinate the arrival of the wedding cake/s and the cake table display including cake knife

  • Brief photographer and videographer on their arrival on venue highlights, the wedding timeline and your Must Shoot list

  • Ensure the groomsmen are dressed and ready on time and ushers are briefed on their duties

  • Manage arrival, set up and soundcheck of wedding musicians, confirming playlists and cues

  • Work with photographer to coordinate family photos after ceremony

  • Manage the transport of any required items from ceremony to reception venue

  • Coordinate the on-time arrival and set up of any evening reception services such as chocolate fountain, champagne ice sculptures, dessert vans etc

  • Liaise with caterers and venue staff to ensure the on-time flow of canapés, drink, wedding breakfast and evening buffet

  • Liaise with evening entertainment providers (DJs, bands etc) around set up, soundcheck, evening timeline etc

  • Usher guests to be seated for the wedding breakfast and assist them in locating their seats

  • Coordinate the cues for the bridal introduction and wedding speeches, ensuring toast drinks are served in time

  • Provide toastmaster role in announcing important events such as the speeches, cake cutting and first dance

  • Cue the photographer, DJ, band and guests for any important events such as the cake cutting, first dance, bridal send off etc

  • Ensure any evening atmospheric lighting such as tea lights, lanterns etc are lit at the appropriate time

  • Manage the payment and gratuities for all suppliers

  • Coordinate the bridal send off and collect items, luggage, gifts etc and ensure they get to the correct room or vehicle as required

  • Coordinate departure transport for wedding party
